THE CHALLENGE

A small team was managing a large learning and CLE operation.

The firm's four-person professional development team supports approximately 3,800 live learning events each year, along with significant attorney activity across learning, registration, resources, and CLE administration.

At that volume, even small inefficiencies in routine workflows compound quickly. The administrative burden was compounded by the need to manage CLE obligations across more than 1,000 attorneys and roughly 40 jurisdictions.

In other words, the platform had to do more than store records. It had to support fast everyday workflows while helping the team explain and manage compliance clearly.

THE DECISION

Move away from Aderant viLMS without sacrificing continuity.

The firm chose to move from Aderant viLMS to UniversitySite and CLESite, looking for a platform that better matched the way its professional development team worked.

The goal was not simply a new interface. The firm wanted a better operational fit: a system that reduced friction in routine tasks, gave administrators more independence, and made CLE information easier to understand and act on.

THE APPROACH

Use the platform to simplify the work that repeats every day.

The team found immediate practical improvements in the way it created and updated events. Instead of starting from scratch each time, administrators could copy an existing program, make the needed changes, and share information more efficiently.

The firm also expanded access for its CLE coordinators so they could upload certificates directly to attorney dashboards. Previously, that kind of work often required a more experienced administrator to step in. With the new workflow, more people could complete the task independently.

THE RESULT

The firm estimates that many routine learning administration tasks now take about half the time they did before. The difference was especially meaningful for a team balancing live event management, compliance reporting, and ongoing attorney support.

The team also found the platform easier to work in and easier to explain to others. Where CLE reports and attorney dashboards had previously been harder to interpret, the CLESite dashboard became a shared point of reference for understanding status, activity, certificates, and imported records.

Administrators could use the platform to investigate course completion, imported activity, and credential information without translating data across multiple systems or manual processes.

A migration without a launch disruption

Planning and data cleanup helped the transition stay on schedule.

The firm approached the migration deliberately. It spent nearly two months reviewing and cleaning historical data from viLMS before the move. Some records were loaded using Profiscience import capabilities, while the Profiscience team assisted with additional uploads.

The work required preparation, but it did not derail implementation. The firm met its planned launch date and was comfortable working in the new environment within approximately two months.

For other firms considering a move from viLMS, the experience is a useful reassurance: migration does not have to mean starting over if the data is reviewed thoughtfully and the team has the right support.
