  1. What is a Learning Management System (LMS)?

    Software designed to launch, track, manage, and measure learning, including instructor led training, enterprise wide eLearning, employee development, certification, and other learning activities in a company.

    An LMS is a solution that helps manage and promote an organization’s learning activities, allowing companies to securely publish and consume learning materials, monitor usage, and manage programs and compliance.

  4. Does UniversitySite come preloaded with learning content?

    No. For an LMS to provide real value throughout an organization, it must be able to consistently exchange and support information between diverse systems. The beauty of an LMS is to deliver content in a uniform manner regardless of its source, and Profisciencē Partners believes developing and promoting its own content would be a conflict of interest. Instead we rely upon third party providers to supply content that supports industry standards for learning which includes a la carte prepackaged content, custom eLearning development services, and comprehensive packages of instructor led and eLearning courses.

    Our clients have been very successful developing their own content using dozens of authoring tools and purchasing third party content to augment their existing content. Law firms can rely upon Profisciencē Partners to provide assistance in selecting learning content—our job is to connect you to an exceptional group of preferred third party content providers.

  7. How do we schedule a live demonstration of UniversitySite?

    Use the “Demo Request Form” on our website. In many cases, we can schedule a demo that same day.

  8. How do we sign up for a trial?

    Use the “Contact Us Form” on our website. Be sure to indicate that you are interested in using UniversitySite for a trial period. We will contact you and ask you some questions to determine if you meet the qualifications for a trial.

  9. How can we get the most out of a trial?

    To ensure you are able to fully explore the capabilities of UniversitySite, we start by providing a web-based training session. We’ll ask for a volunteer from your firm to do the driving while our instructor guides the interaction. The session ends with an assignment that contains several exercises designed to give each participant in the trial an overview of how the LMS works.

  11. How is UniversitySite priced?

    The cost of UniversitySite is based entirely on the number of full time employees in the organization.

  12. What purchasing options are available for UniversitySite?

    UniversitySite can be purchased under the SaaS model (see the “Subscription” section of this FAQ) or the Enterprise model (see the “Enterprise Licensing” section of this FAQ).

    With a subscription, Profisciencē Partners maintains the servers, the security, and all product updates and improvements. Under the Enterprise License clients install UniversitySite on their own server and maintain the product, including the installation of product updates. Keep in mind that with the installed solution Profisciencē Partners provides excellent support, and we are always a phone call away to help as needed.

  13. What is the value proposition for a UniversitySite Enterprise License versus a UniversitySite Subscription?

    The long term cost for UniversitySite under a permanent license is lower than the long term cost of UniversitySite under a subscription, but a subscription is more flexible, requires a smaller initial investment, can be viewed as a short-term investment, and provides the option switch to a better product if one becomes available.

  14. How is UniversitySite purchased?

    UniversitySite can be purchased directly from Profisciencē Partners or from one of our approved resellers. If you have a relationship in good standing with one of our resellers, we encourage you to purchase UniversitySite through that channel. Working through a reseller allows us to leverage external resources for sales, enabling us to spend more time improving and supporting our products. Resellers of UniversitySite include Capensys, Savvy, and Traveling Coaches.

    The reseller channel adheres to the same pricing model followed by Profisciencē Partners, so clients receive the same price for UniversitySite regardless of vendor.   15. Enterprise Licensing

  16. What is an Enterprise License?

    For a one-time fee, clients are issued a permanent license for the use of UniversitySite. An optional yearly maintenance fee provides new product features and technical support.

  17. What are the licensing requirements?

    A license is required for every full time employee in the organization.

  18. Can UniversitySite be installed on our server under the Enterprise License?

    Yes. UniversitySite can be installed on your own server under the Enterprise License.

  19. Subscription

  20. What is a UniversitySite Subscription?

    For a yearly fee, we provide access to UniversitySite. We maintain the servers, the security, all the updates and improvements so you don't have to worry about anything.

  21. What are the requirements for a UniversitySite Subscription?

    A subscription is required for every full time employee in the organization.

  22. How are upgrades performed under a UniversitySite Subscription?

    Under a subscription, there are no additional fees for upgrade services. We keep your system up and running on the latest version of UniversitySite.

  23. Can we install UniversitySite on our own server under a UniversitySite Subscription?

    No. If you want to install UniversitySite on your own server you should consider an Enterprise License.

  24. Maintenance

  25. Do we need to purchase annual software maintenance?

    Clients are not required to purchase annual software maintenance. It is completely optional and is only available to customers with an enterprise license who prefer to receive product updates and technical support. Software maintenance is automatically included under a UniversitySite subscription at no additional fee.

  26. Can we get technical support without software maintenance?

    Software maintenance must be current or a subscription must be in place in order to receive technical support and product updates.

  27. Will you charge a fee to obtain the latest version of UniversitySite?

    There is no fee to obtain the latest version of UniversitySite provided your software maintenance is current or you have a subscription in place.

  28. How are the software maintenance fees affected by employee growth or reduction?

    Each year the software maintenance will be adjusted to “true up” for additional employees. For example, if your firm grows by five full time employees, you will be invoiced for five new licenses and the corresponding software maintenance fee.

  29. How much time is required from technical staff to maintain the system annually?

    At a minimum, you will need to plan the time required to backup the system. In addition, we recommend you plan to install 3 updates per year. The amount of time required by your technical staff will depend on your decision to purchase upgrade assistance. For this analysis, we assume you will be upgrading a test server and a production server. Worst case scenario, each upgrade will take fifteen (15) hours. This means you should account for three upgrades totaling forty-five (45) hours. If you want to reduce the amount of time to nil, you may want to consider our hosting services.

  31. Why should we consider hosting services instead of using our own server?

    Do more with less: Because we take care of the servers, security, and all the product updates, you don't have to worry about maintenance and can focus on implementing your training platform.

    Optimal performance: Our systems are highly optimized for UniversitySite, often running on newer hardware and more recent versions of Windows Server and SQL Server than our clients have available in-house.

    Better service and support: When you need assistance, we can rapidly resolve issues since we control the environment and our administrators have access to the underlying systems.

    Product updates: Your system will always be running the latest version of UniversitySite, ensuring you always have timely access to new features and bug fixes.

  32. Are there any additional hosting fees?

    If you purchase UniversitySite under a subscription, there are no additional hosting fees. If you purchase or have purchased a permanent license, we can provide hosting services for a small fee.

  33. What is included in the hosting services for UniversitySite?

    Hosting services includes server maintenance, security, and all product updates and improvements. We also make sure you are running the latest version of UniversitySite, ensuring you always have timely access to new features.

  34. How long will it take to provision our new site?

    In most cases, sites are provisioned with 24 to 48 hours notice.

  35. Where is your data center? What about security and backups?

    Our systems are hosted by a premier provider of collocation services with data centers in Chicago, Dallas, and Los Angeles. The data center provides uninterruptable power services complete with Diesel powered generators, multiple points of entry fiber and electricity inputs, 100Mbps Ethernet connections to our servers with 1Gbps connections between routers and switches, and is staffed by security and systems administrators 24/7.

  36. Installation

  37. What are the system requirements to install UniversitySite on our own server?

    The installation requires Windows Server 2003 or newer and SQL Server 2005 or newer. We recommend a dual processor server with 4GB of RAM and 30GB of disk space.

  38. What are the system requirements for end-users of UniversitySite?

    Administrators and users need Internet Explorer 6 or newer. That’s it. Nothing else is required.

  39. How long does it typically take to install UniversitySite?

    Once the server prerequisites have been satisfied, the installer runs for a couple of minutes and you are up and running. Worst case scenario… two hours.

  40. Do you provide for installation assistance?

    Yes, for new customers we take care of everything, short of providing the hardware and installing the technical prerequisites, through a screen-sharing installation session.

  41. What technical skills are required to support an installation of the system?

    The installer should be familiar with Microsoft technologies including Windows Server, Active Directory, Internet Information Server, and SQL Server.

  42. How are users typically added to the system?

    UniversitySite is automatically synchronized with Microsoft Active Directory. As you add, delete, enable, disable, and rename Active Directory users each update will automatically find its way into UniversitySite without any human intervention required.

  43. What server operating systems and database engines are supported?

    UniversitySite uses Windows Server 2003 and SQL Server 2005. UniversitySite V8.0 adds support for Windows Server 2008 and SQL Server 2008.

  44. What are the steps necessary to backup the system?

    We encourage customers to back up the entire server(s). However, there are only two places where UniversitySite stores data, those being in web folder and SQL database.

  45. What is included in the server installation fee?

    We initiate a screen-sharing session with your technician, confirm the server meets the installation prerequisites, perform the installation, create the database, enable Single Sign-on, enable the Reminder Service, import your users, schedule user synchronization, verify email is flowing, and test the system. This can be accomplished in a single session in less than 2 hours at the conclusion of which you can begin using the system.

  47. Can we move our installation of UniversitySite to your data center?

    Sure. The transition is painless and your users won’t even know the difference. See the “Hosting” section of this FAQ for more information.

  48. Why should we consider moving our installation of UniversitySite to your data center?

    Do more with less: Because we take care of the servers, security, and all the product updates, you don't have to worry about maintenance and can focus on implementing your training platform.

  49. How do we get the latest version?

    If we are hosting UniversitySite for your company, you should always have the latest version. If UniversitySite is installed on your own server, use the “Contact Us” form to request the latest installer.

  50. How long does it typically take to install or upgrade UniversitySite?

    Upgrades can usually be completed in less than 30 minutes. However you should set aside 15 hours for planning, learning, and testing.

  51. What are the steps necessary to perform an upgrade?

    Start by performing a complete backup of the server and database. Run the installer and then test the results. For comprehensive instructions download our “Do It Yourself Upgrade Guide”.

  52. Do you provide upgrade assistance?

    We provide three levels of upgrade assistance for clients who install UniversitySite on their own server. For free, we will standby to provide technical support if needed while you do your own upgrade. For a small fee, we will take care of all the details surrounding your upgrade ensuring you the best experience and a smooth transition to the latest version of UniversitySite. Use the “Contact Us” form to obtain more information regarding upgrade assistance.

  53. What are the steps necessary to backup the system?

    We encourage customers to back up the entire server(s); however there are only two places where UniversitySite stores data, those being in web folder and SQL database.

  54. Implementation

  55. Do we need to send our employees through a training program to learn how to use UniversitySite?

    System Administrators and instructors have found that spending a few hours in the classroom will save them a significant amount of during and after the implementation. End-Users (employees) do not require any training on the use of the LMS. Hmm, instructors need training, users don’t… ironic isn’t it.

  56. What types of training sessions are available?

    Training may include face-to-face product demonstrations, hands on exercises, and webinars that cover a variety of topics including the Learning Center, InstructorSite, and the Admin Tools.

  57. Are implementations done remotely or onsite?

    With very few exceptions, implementation services are provided onsite at your office at your convenience.

  58. What does a typical implementation project look like?

    Once a license agreement has been signed and payment has been received, the implementation process begins with a short kick off meeting. During this meeting we will outline the typical implementation tasks, schedule the installation session, and the onsite training and consulting sessions. During the course of the implementation, historical data will be loaded into the system and system administrators and instructors will be trained to an expert level.

  59. How long does it take to implement UniversitySite?

    We have done implementations for so many law firms that we have the process down to a science. However, given the coordination required to accommodate customer schedules implementations take usually 2 to 4 weeks from start to finish.

  60. Can we import users, courses, and historical learning data?

    Yes, we take care of importing everything during your implementation.

  61. What is included in the implementation fee?

    We install or provision the system for you, import your historical data, and train your System Administrators and Instructors. The service we provide is guaranteed to improve user adoption and accelerate your rollout.

  62. Security and Access

  63. How do our users access UniversitySite?

    All they need is the URL to the site, and Internet Explorer will present your users with relevant learning activities.

  64. Does UniversitySite support Single Sign-on?

    Whether you install UniversitySite on our own server or use our hosting services, UniversitySite will recognize your users automatically.

  65. Can secretaries perform functions on behalf of the lawyers they support?

    Sure. Lawyers can create a password to provide their secretaries the ability to sign up for training and perform other actions on their behalf.

  66. What happens to user accounts for employees who leave the company?

    Since UniversitySite is automatically synchronized with Microsoft Active Directory, as employees leave the company they will be marked as inactive users in UniversitySite and all their historical data will be retained. As a matter of fact, as you add, delete, enable, disable, and rename Active Directory users each update will automatically find its way into UniversitySite without ANY human intervention required.

  67. Does UniversitySite support different levels of access?

    There are 10 different granular security roles from “user” to “administrator” built-in to UniversitySite.

  68. Do trainers in other departments have the ability to change learning data for our department?

    No. UniversitySite can be used with assurance and confidence by multiple departments simultaneously due to its support for departmental dissection which limits access to data on a departmental basis.

  69. Can courses, events, learning plans, and content be hidden from the Learning Center?

    Yes, there are many real-world scenarios where the ability to manage, track, and stage learning activities behind the scenes is critical.

  70. Can courses, events, learning plans, and content be made visible to specific learners but not others?

    Yes, you have complete control of who sees what giving you the ability to personalize the Learning Center down to needs of each individual or job class. Content should be tied to each audience. Attorneys should be presented with a clean view of relevant learning activities.

  71. Can external users be added to the system?

    Yes, clients, external attorneys, and other non-employees can be securely provided access to the system and you won’t need to add external user to your internal Microsoft Active Directory. Your installation of UniversitySite will need to be internet facing, so you may want to consider our hosting service.

    If you will be adding external users to the system, we recommend creating audiences in UniversitySite for employees and external users so that you can easily control the learning activities available to external users.

    Before adding external users, be sure to contact us to evaluate the cost savings for licensing external users versus internal users.

  72. Can we search for users with a specific permission level?

    Yes. An important security measure involves auditing levels of access to systems information; UniversitySite provides the ability to easily find users with special permissions.

  73. Can user properties be changed for multiple users in a single step?

    Yes. UniversitySite’s User Manager provides the ability to easily update multiple user profiles and permissions in a single step. This is an important feature that can dramatically reduce the amount of time administering any system.

  74. Branding & Customization

  75. Can we use our company’s branding in UniversitySite’s Learning Center?

    Yes, the Learning Center can be rebranded logos of your choosing.

  76. Can we change the name of the Learning Center to match the name of our internal university?

    Yes, the Learning Center can be rebranded with a name of your choosing.

  77. Can we change the color scheme for UniversitySite?

    Yes, we can help you create your own skin for UniversitySite or you can pick from one of the built-in skins.

  78. Can we create an abbreviated shortcut URL for quick and easy access to UniversitySite?

    Yes, we recommend creating an abbreviated alias for the sake of convenience. For example, you might decide to that typing ‘lc’, as in Learning Center, into the browser should take users directly to UniversitySite.

  79. Can the anniversary dates for yearly progress reports be changed to coincide with our fiscal year?

    Yes, UniversitySite’s reports can be set to coincide with the fiscal year for your company.

  80. Can we add links to UniversitySite?

    Yes, related sites can easily be added to the navigation system in the Learning Center and InstructorSite.

  81. Can training requests be automatically to be sent to a specific person in each office and/or each department?

    Yes, training requests are automatically sent to the designated person by department and location.

  82. Can we setup our own organizational structure for courses in the system?

    Yes, UniversitySite mirrors the organizational structure used by universities worldwide. The most elementary organization element is a course prefix and number. In addition, courses are structured by department, audience, regulatory agency, and credit.

  83. Do instructors have the ability to upload content by themselves?

    Yes, InstructorSite provides the ability to design learning activities that include uploaded eLearning and attachments.

  84. How are users loaded into the system?

    UniversitySite is automatically synchronized with Microsoft Active Directory. As employees leave the company they will be marked inactive in UniversitySite and all their historical data will be retained. As users are added, deleted, enabled, disabled, and renamed, Active Directory user updates automatically find their way into UniversitySite.

    Some companies prefer to sync users from an HR system. Upon request, we provide sample synchronization scripts which can be tailored to meet their needs.

  85. Globalization, Internationalization, and Localization

  86. Does UniversitySite support languages other than English?

    Yes, UniversitySite supports any number of languages. UniversitySite is provided with a United States - English translation dictionary, however additional translation dictionaries can be created using the language editor.

  87. How does UniversitySite handle users in different time zones?

    All dates and times are stored in Universal Time. UniversitySite coverts from Universal Time to each user’s local time automatically.

  88. How does UniversitySite handle users in different regional date and numeric formats?

    UniversitySite inherits its date format and numeric formats from the regional settings defined in Microsoft Windows Server. For example, the date format in Australia is dd/mm/yyyy, where as the date format in the United States is mm/dd/yyyy.

  90. Is there a way we can sync users from Active Directory?

    UniversitySite is automatically synchronized with Microsoft Active Directory. As employees leave the company they will be marked inactive in UniversitySite and all their historical data will be retained. As users are added, deleted, enabled, disabled, and renamed, Active Directory user updates automatically find their way into UniversitySite.

  91. Can user profiles be automatically imported from our HR system?

    Some companies prefer to sync users from an HR system. Upon request, we provide sample synchronization scripts which can be tailored to meet their needs.

  92. Can we develop a launch page on our portal to pull information out of UniversitySite?

    Yes, you can connect to the database directly, use the built-in stored procedures, or use the built-in web services to pull information out of UniversitySite.

  93. Third Party Integration

  94. How does UniversitySite leverage Microsoft Active Directory?

    UniversitySite is automatically synchronized with Microsoft Active Directory. As employees leave the company they will be marked inactive in UniversitySite and all their historical data will be retained. As users are added, deleted, enabled, disabled, and renamed, Active Directory user updates automatically find their way into UniversitySite.

  95. How does UniversitySite integrate with Outlook, Exchange, or Lotus Notes?

    Events are automatically synchronized to Outlook and Lotus Notes calendars for users who sign up for training. Synchronization occurs when UniversitySite sends meeting request to trainees and trainers. This method of integration requires no changes to Exchange or Lotus Notes.

  96. What is the integration with Micron CE Manager?

    The integration of UniversitySite with CE Manager greatly benefits firms using both products. UniversitySite’s ability to manage learning and development across all departments combined with CE Manager’s ability to track MCLE compliancy results in solution unparalleled in the market place. The flexibility and openness of both companies to offer law firms this opportunity was initiated by clients that use both products.

    Key Features of CE Manager Integrated with UniversitySite:

    • Courses and training events for CLE credits are managed in UniversitySite and automatically pushed into CE Manager. This eliminates the need to enter data into both systems and allows courses created in UniversitySite to be tracked by CE Manager.

    • Courses in UniversitySite can be associated with the CLE credits defined in CE Manager which are maintained by Micron Systems. This eliminates the need to define regulatory agencies and credit types in UniversitySite.

    • Attendance and eLearning records in UniversitySite are automatically pushed to CE Manager where CLE credits are automatically applied to attorneys’ CLE reports.

    • UniversitySite pulls CLE compliancy status from CE Manager into the Learning Center where it is displayed for attorneys alongside the internal learning, development, compliance, and performance improvement programs they are participating in.     Any content development environment that supports the industry standards of SCORM or AICC can be used to create eLearning for UniversitySite. There are dozens of tools each with their own strengths and weaknesses. Some of the more popular tools include:

  98. UniversitySite Terminology

  99. What is the Learning Center?

    The Learning Center is where learning resources are published and distributed for employee access. It provides employees with a calendar of events, a catalog of eLearning courses, a library of learning materials, and progress and compliance reports. Extensive user acceptance testing by attorneys and non-attorneys has repeatedly demonstrated its sophistication and ease of use.

  100. What is InstructorSite?

    InstructorSite is the part of UniversitySite that allows you to design and publish learning resources to the Learning Center. InstructorSite is used by instructors, managers, and administrators to manage learning programs and activities.

  101. What is a Course?

    Courses are the building blocks of training, education, and development, and represent a discrete body of information on specific topics that are intended for increasing knowledge or skills. Courses can be delivered in numerous formats, including instructor led training and web based training.

  102. What is an Instructor Led Course?

    An instructor led course is a course delivered by a person in a live classroom or live virtual classroom environment.

  103. What is an eLearning Course?

    An eLearning course is a course that is delivered online and available on-demand for instant playback. eLearning courses can be purchased from third party vendors or created in-house.

  104. What is the Catalog?

    The catalog in UniversitySite is a listing of all available courses that can be requested, scheduled, or completed on-demand.
